From Handshake to Notarized Agreement: The Minimal System

Plenty of installment selling in Rwanda still runs on trust and a note in a book. That works until it does not, and the moment it fails you discover that a note in a book proves very little about who agreed to what.
You do not need a legal department. You need four things recorded properly.
Step 1: Establish who the customer is
Identity is the foundation. Everything downstream depends on it being right.
What to capture: National ID, a phone number you have actually called, and a physical address someone has confirmed. An agreement with an unverified party is difficult to enforce and easy to dispute.
Step 2: Write the terms before money changes hands
The terms must exist in full before the goods leave the shop.
Must be written: Total amount, installment size, due dates, penalties, and what happens on default.
Must be understood: Read the escalation clause aloud with the customer. A term the customer genuinely understood at signing is far more likely to be honoured, and far harder to contest later.
Step 3: Have it verified
A licensed notary confirms that both parties are who they claim to be and that each understood what they signed. This is the step that converts a private arrangement into a document with legal weight , and it is the step most often skipped, precisely because it used to mean a trip across town with a folder of paper.
Step 4: Keep the trail
Store the signed agreement, the verification record, and every payment against it in one place.
Record payments as they happen, not from memory at month end.
Keep the reminder and escalation history attached to the agreement itself.
If a dispute ever reaches a third party, the complete trail is what decides it. Assembling that trail after the fact is usually impossible; capturing it as you go costs almost nothing.
